Migrating email from one smartermail server to another

Email Migration

There are 3 primary ways to move email from your email accounts from one Smartermail server to another.

If you’re using POP3 to connect to your email accounts, then the move is very simple.

POP3 Steps

  1. Create all required email accounts on the new server via your new control panel.
  2. Ask your DNS provider 48 hours prior to changinf your MX record to reduce the TTL on your MX record. This will help the cutoverperiod to be as brief as possible.
  3. Change MX record to point email to the new email servers IP address so email starts flowing to the new server.
  4. Change settings on email clients (Outlook, phone’s etc) to connect to the new email server.
  5. Once confirmed all email coming into new account correctly, remove old email accounts (and email domain) from old control panel.

If you’re connecting to your email accounts using IMAP, then there are 2 ways to move your email accross. The first makes use of an email client like Microsoft Outlook, and the second uses the IMAP import feature of Smartermail’s webmail client

IMAP migration using email client like Outlook

  1. Create all required email accounts on the new server via your new control panel.
  2. Add new email account via IMAP into Outlook.
  3. Ask your DNS provider 48 hours prior to changinf your MX record to reduce the TTL on your MX record. This will help the cutoverperiod to be as brief as possible.
  4. Copy all email within Outlook from existing account to new account
  5. Change MX record to point email to the new email servers IP address so email starts flowing to the new server.
  6. Once confirmed all email coming into new account correctly, remove old email accounts (and email domain) from old control panel.

If you do not use an email client, and you just prefer to use your phone, or webmail, then you can use the instructions below.

IMAP migration using Smartermail Webmail

  1. Create all required email accounts on the new server via your new control panel.
  2. Ask your DNS provider 48 hours prior to changinf your MX record to reduce the TTL on your MX record. This will help the cutoverperiod to be as brief as possible.
  3. Log into SmarterMail as user.
  4. Click the Settings icon.
  5. In the Settings menu, click on Connectivity
  6. On the Mailbox Migration card, click the Migrate button.
  7. Click on the Other icon
  8. Enter the details of the original email server and email account to start importing email
  9. Once all email accounts are importing then continue
  10. Change MX record to point email to the new email servers IP address so email starts flowing to the new server.
  11. Once confirmed all email coming into new account correctly, remove old email accounts (and email domain) from old control panel.
